The Client
Transcorp is a medium-sized freight company with a workforce of around 70 drivers who carry out long distance operations all over the UK, Ireland and the rest of Europe. Transcorp’s proprietor, 'The Boss', who started out as a long-distance lorry driver himself, likes to be able to personally keep tabs on operations as much as possible: because of the 24/7 nature of the business, this means that he often needs to contact drivers and controllers out-of-hours or as soon as they return from a longhaul trip.
The Problem
Until now, the company has been operating with a traditional analogue telephony system. Their central difficulty, as faced by most companies of this type equipped with a traditional telecom system, has been that of coordinating the work of each controller so as to avoid doubling up, or putting empty trucks on the road unnecessarily. This has been done to date by means of a handwritten memo system, whereby each controller makes a note of the latest developments and posts it on a central noticeboard. With the expansion of the company however and with the sometimes hectic pace of operations, the current system is proving inadequate, as controllers sometimes forget to transfer their notes onto the central board – or simply don’t have the time to do so. With an ever-increasing workforce, The Boss is finding it more and more difficult to keep tabs on individual drivers, even when they’ve returned to base after a long tour.
Our Solution
In the above scenario, we at Telecom Solutions would propose the installation of an AS 40P telephone system which would mean that each controller would be equipped with a phone with a separate extension, a personal e-mail address and a separate fax extension. We’d also recommend the purchase of corresponding telephone system software, which would manage all incoming information in the most cost effective and time efficient way possible, by allowing each operator to record customer data and scheduled meetings on a central online database accessible by each member of the workforce.
As far as facilitating communication between The Boss and his team goes, we’d suggest he invest in several system handhelds and retrofit the whole system with a DECT Module – which would mean that employees could be reached even when not sitting at their desks.
